3. Booking and Reservations

3.1 Booking Process

All bookings are subject to availability and confirmation by the relevant suppliers. A booking is only confirmed once you receive written confirmation from us via email or other written communication. We act as an intermediary between you and the suppliers and are not responsible for the availability of services.

3.2 Accuracy of Information

You are responsible for ensuring that all information provided during the booking process is accurate and complete, including but not limited to passenger names, dates of travel, passport details, and contact information. Any errors or omissions may result in additional charges or the inability to use the booked services.

3.3 Special Requests

We will make reasonable efforts to communicate any special requests (such as dietary requirements, wheelchair access, or specific room preferences) to suppliers. However, we cannot guarantee that such requests will be fulfilled, as they are subject to supplier availability and policies.

4. Payment Terms

4.1 Pricing

All prices quoted are in the currency specified at the time of booking and are subject to change until full payment is received. Prices include all applicable taxes and fees unless otherwise stated. We reserve the right to adjust prices due to currency fluctuations, changes in supplier costs, or errors in pricing.

4.2 Payment Schedule

A deposit may be required at the time of booking, with the balance due according to the payment schedule provided in your booking confirmation. Full payment must be received by the due date specified, or your booking may be cancelled without further notice.

4.3 Payment Methods

We accept various payment methods, including credit cards, debit cards, bank transfers, and other methods as specified on our website. All payments are processed securely, and you are responsible for ensuring that payment details are accurate.

4.4 Service Fees

In addition to the cost of travel services, we may charge service fees for our professional assistance in arranging your travel. These fees are non-refundable and will be clearly disclosed before you confirm your booking.

5. Cancellations and Refunds

5.1 Cancellation by Client

If you need to cancel your booking, you must notify us immediately in writing via email at [email protected]. Cancellation charges will apply according to the policies of the relevant suppliers and may include:

  • Loss of deposit or full payment depending on the cancellation timeline
  • Supplier cancellation fees
  • Our service fees, which are non-refundable
  • Administrative charges for processing the cancellation

5.2 Cancellation by Betterspaceboard

We reserve the right to cancel any booking in exceptional circumstances, including but not limited to force majeure events, supplier insolvency, or failure to receive full payment. In such cases, we will endeavor to offer alternative arrangements or provide a full refund of amounts paid, excluding non-refundable service fees.

5.3 Refund Processing

Refunds, where applicable, will be processed within 30 business days of the cancellation being confirmed. Refunds will be issued using the original payment method unless otherwise agreed.

6. Changes and Amendments

If you wish to make changes to your booking after confirmation, you must contact us as soon as possible. We will make reasonable efforts to accommodate your requests, but changes are subject to availability and supplier policies. Amendment fees charged by suppliers, as well as our administrative fees, will apply.

We are not responsible for any costs incurred if you are unable to travel due to changes in personal circumstances or failure to comply with travel requirements.

7. Travel Documents and Requirements

7.1 Passports and Visas

You are solely responsible for ensuring that you have valid travel documents, including passports, visas, and any other documentation required for your journey. Passport validity requirements vary by destination, and many countries require passports to be valid for at least six months beyond the date of travel.

7.2 Health Requirements

You are responsible for obtaining information about and complying with all health requirements for your destination, including vaccinations, medical certificates, and travel health insurance. We recommend consulting with your healthcare provider or a travel medicine specialist well in advance of your departure.

7.3 Customs and Immigration

You must comply with all customs and immigration regulations of the countries you visit. We are not responsible for any consequences arising from your failure to comply with such regulations.

8. Travel Insurance

We strongly recommend that you purchase comprehensive travel insurance to cover unforeseen circumstances, including but not limited to trip cancellations, medical emergencies, lost luggage, and travel delays. Travel insurance is not automatically included in our packages unless specifically stated.

We can assist you in obtaining suitable travel insurance, but you are responsible for ensuring that the coverage meets your needs and understanding the terms and exclusions of the policy.

9. Liability and Limitations

9.1 Role as Agent

Betterspaceboard acts as an agent for suppliers of travel services. We are not responsible for the acts, errors, omissions, representations, warranties, breaches, or negligence of any such suppliers or for any personal injuries, death, property damage, or other damages or expenses resulting therefrom.

9.2 Limitation of Liability

Our liability to you for any loss, damage, or expense arising from our services is limited to the total amount paid by you for the specific booking in question. We shall not be liable for any indirect, consequential, or punitive damages.

9.3 Force Majeure

We are not liable for any failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, government actions, natural disasters, pandemics, strikes, or technical failures.

10. Customer Responsibilities

You agree to:

  • Provide accurate and complete information when making bookings
  • Arrive at departure points with sufficient time before scheduled departures
  • Comply with all laws and regulations of the countries visited
  • Behave in a manner that does not endanger yourself or others
  • Respect the property and rights of suppliers and other travelers
  • Follow all safety instructions provided by suppliers

11. Complaints and Disputes

If a complaint arises during your travel, you must notify the relevant supplier and us as soon as possible to allow us the opportunity to address the issue. Failure to do so may affect your ability to claim compensation.

We are committed to protecting your privacy and handling your personal data in accordance with applicable data protection laws. The personal information you provide will be used to process your bookings and may be shared with suppliers as necessary to fulfill your travel arrangements.

13. Intellectual Property

All content on our website, including text, graphics, logos, images, and software, is the property of Betterspaceboard or its content suppliers and is protected by copyright and other intellectual property laws. 14. Governing Law and Jurisdiction

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or your use of our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
